We collect only the personal information reasonably necessary to provide our services and run our business. This may include:

  • information about the goods, property, access, parking or other arrangements relevant to the work;

  • quotation, booking, invoice and payment information;

  • correspondence, instructions and records of changes to a booking;

  • photographs, inventories or other information supplied in connection with a quotation, move, clearance, complaint or claim;

  • information about another person where you are authorised to arrange work on their behalf; and

  • technical information collected when you use our website, where applicable.

Where someone else provides us with your information, for example a family member, landlord, estate representative or business colleague arranging work on your behalf, we use it only where we have a lawful reason to do so.

2 How we use your information

We may use personal information to:

  • respond to enquiries and prepare quotations;

  • arrange, manage and carry out removals, relocations, transport and clearance work;

  • confirm bookings and communicate about work;

  • take and record payments;

  • arrange parking, access, storage, disposal or other services where required;

  • comply with environmental, accounting, tax and other legal obligations;

  • deal with enquiries, complaints, insurance matters or claims;

  • maintain appropriate business and financial records; and

  • protect our business, customers and staff from fraud, misuse or legal claims.

We will not use personal information for purposes that are incompatible with the reason for which it was collected unless we have another lawful basis for doing so.

3 Our lawful bases for using your information

UK data protection law requires us to have a lawful basis for using personal information. Depending on the circumstances, we rely on one or more of the following:

  • Contract – where the information is necessary to provide a quotation, enter into a contract with you or carry out the services you have booked.

  • Legal obligation – where we need to keep or use information to comply with the law, including accounting, tax, waste-management or regulatory requirements.

  • Legitimate interests – where reasonably necessary to operate and protect our business, keep appropriate records, respond to enquiries, establish or defend legal claims, prevent fraud or manage our relationships with customers and suppliers, provided those interests are not overridden by your rights.

  • Consent – where the law requires your consent, for example for certain optional website cookies or particular forms of direct marketing. Where we rely on consent, you may withdraw it at any time.

4 Who we share information with

We do not sell personal information.

Where necessary, we may share relevant information with organisations or people involved in providing or supporting our services, including:

  • employees and authorised subcontractors;

  • authorised waste transfer, recycling or disposal facilities;

  • storage or specialist service providers;

  • insurers, insurance brokers and professional advisers;

  • banks, payment providers and accountants;

  • IT, website, email and other business-service providers;

  • landlords, managing agents, estate representatives or other authorised parties where relevant to the work; and

  • regulators, courts, law-enforcement agencies or other public authorities where we are legally required to do so.

We disclose only the information reasonably necessary for the relevant purpose.

5 How long we keep your information

We do not keep personal information for longer than reasonably necessary.

Records relating to completed work, contracts, invoices and payments are normally retained for up to six years where necessary for accounting, tax or legal purposes.

Waste Transfer Notes and other statutory waste records are retained for the periods required by applicable environmental legislation.

Enquiries and quotations that do not result in work are deleted when they are no longer reasonably required.

When information is no longer required, we delete or securely dispose of it.

6 Keeping your information secure

We take reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, accidental loss or destruction.

Access to personal information is limited to those who reasonably need it for their work.

7 Information processed outside the UK

Some of the technology or service providers we use may process or store information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate legal mechanism or safeguard is in place as required by UK data protection law.

8 Your rights

Depending on the circumstances and the lawful basis on which we use your information, you may have the right to:

  • ask for a copy of personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete information in certain circumstances;

  • ask us to restrict the way information is used;

  • object to certain uses of your information;

  • receive certain information in a portable form; and

  • withdraw consent where we rely on consent.

These rights do not apply in every circumstance, and in some cases we may be legally entitled or required to retain information.

9 Marketing

We will not sell your information to other organisations for marketing.

Where consent is required before we send electronic marketing communications, we will obtain it. You may ask us to stop sending marketing communications at any time by contacting us or using any unsubscribe facility provided.
